The problem
Vibrant Healthcare's teams were coordinating genetic-testing operations through Google Sheets. The approach worked at a small scale, but lead intake, ownership, department handoffs, follow-up, and visibility could not remain dependable as the company grew.
The approach
The useful work was not a single feature. It was designing the full path, making the tradeoffs visible, and carrying it through rollout.
- 01
Started from firsthand operating context after making hundreds of outbound calls per day in the sales workflow.
- 02
Interviewed people across the company to understand how each department actually worked, where information originated, and how responsibility moved.
- 03
Designed the CRM structure, lead-entry rules, department handoffs, tracking conventions, automations, and access model as one connected operating system.
- 04
Configured and rolled out Zoho CRM independently, then personally trained every user and supported adoption.
What changed
Replaced the company's spreadsheet-centered operating workflow with a shared CRM.
Created one system for daily work and cross-department coordination rather than a collection of disconnected sheets.
The system remains in use, and Gabe continues as the sole paid CRM consultant for maintenance, troubleshooting, and improvements.
Evidence boundary
Company and CEO can verify role scope and continued use.
No patient data, internal screenshots, or private operating details are disclosed.
Public claims are limited to the transformation, ownership, rollout, training, and continued maintenance.
